## Managing Student Groups

**Student groups** let you organize learners and control their access in bulk. Add members, assign courses, and set up a learning sequence — all from one place.

Student groups let you manage access for many students at once. Put students in a group, assign courses and downloads to the group, and every member gets access automatically. You can also set the order in which the group's courses unlock, and follow each member's progress through that order.

Groups suit teams, departments, classes and cohorts. When someone joins a group, they get what the group has. When someone leaves, access is revoked automatically.

---

## Finding your groups

Open **Users > Student groups** from the top menu. The page lists every group you've created.

Each group appears as a card showing its name and description, the courses and downloads assigned to it, the number of students and courses, and a status badge: **Active** or **Inactive**. The card also has an **Add members** button.

To find a group quickly:

- Search by group name.
- Use the Status filter to show only active or inactive groups.
- Switch between Cards and Table with the toggle at the top right.

Click **Add new group** to create one, or click a group to open it.

## Creating a group

On the **Student groups** page, click **Add new group**. Give the group a name and a short description, so you and your team can tell groups apart at a glance. Then add members and materials from the group's own page.

**Editor note:** the Add new group form was not in the screenshots. Add its fields (name, description, status), what is required, and whether a group can be created empty.

Once a group exists, its page has four tabs: **Members**, **Material**, **Learning path** and **Progress**.

---

### Inside a group

Click any group card to open it. You'll find three tabs: **Members**, **Material**, and **Learning path**.

#### Members

![](https://assets.eprofessor.com/content/help/student-groups-students.png)

The **Members** tab lists the students who belong to the group, with their name and email.

### Add members

Click **Add members**, either on the group card or at the top of the Members tab, and choose the students to add. They get access to everything in the group's Material tab right away.

### View a member's progress

Click **View progress** on a student's row to see how they're moving through the group's courses.

### Remove a member

Click **Remove** on a student's row. Removing a student from the group revokes the access they got through it.

Prrogress is kept if student belongs to several groups, or has other type of access (purchase or manual enrollment)

## Material

![](https://assets.eprofessor.com/content/help/student-groups-material.png)

This tab shows all courses assigned to this group. Any member automatically gets access to everything listed here — no need to enroll them one by one. To assign more content, click **Add materials**. To remove a course from the group, click the trash icon next to it.

Each item shows its name, its type (**Course** or **Download**) and its status (**Active** or **Inactive**).

### Add courses and downloads

1. Click Add materials.
2. Search by name to find what you need. Use Select all to pick everything in the list.
3. Tick the items to add, then click Add.

New items are available to the group's members as soon as they're added, including members who joined earlier.

### Remove an item

Click the trash icon on the item. Members of the group lose the access they had to it through the group.

## Learning path

![](https://assets.eprofessor.com/content/help/student-groups-learning-path.png)

This tab lets you define the order in which students should complete courses. Courses are displayed as nodes, and you can connect them to create prerequisites — for example, requiring a student to finish *Employee Handbook Essentials* before unlocking *QA Testing Fundamentals*.

A course shows **0 prereq** if it can be started immediately, or **1 prereq** (or more) if it's locked until another course is completed. To build or modify connections visually, click **Connect Visually**.

Each card on the path shows the item's name, its type and how many prerequisites it has. The header shows the total number of links.

### Build a path

1. Click Add course to place a course or download from the group's materials on the path.
2. Click Connect Visually to link cards, from the prerequisite to the course that depends on it.
3. To remove a link, click the X on it.

Courses with 0 prereq have nothing in front of them.

## Progress

The **Progress** tab shows how one student is moving through the group's learning path. Choose a member from the menu at the top right and the path appears with their status on every card:

- Not started: the student hasn't begun the item.
- In progress: the student has begun but not finished.
- Completed: the student has finished the item.

Switch between members to compare, or use **View progress** on a student's row in the Members tab to go straight to their view.

---

### Editing a group

From inside any group, click **Edit** in the top right to open the Edit group modal. You can update the group name and description, then click **Save changes**.

## Tips and frequently asked questions

### When should I use a group instead of assigning courses one by one?

Use a group whenever several students need the same courses: a department, a class, a cohort. You assign the materials once, and everyone who joins gets them. Add or remove a member and their access follows automatically.

### Can I change a group's courses later?

Yes. Add or remove items in the Material tab at any time. Members' access changes with the list.

### Can a student be in more than one group?

Yes

---

### Deactivating or deleting a group

Both options are available from the top right of any group page.

- Deactivate suspends the group without removing it. Members lose access to group materials while the group is inactive.
- Delete permanently removes the group. This cannot be undone.

**Setting up a course for group-only access**

If a course is meant to be accessed exclusively through a student group — not purchased or self-enrolled — open the course settings and go to the **Purchase or enrollment** section. Make sure all three toggles are off:

- Show in public catalog — off
- Show in private catalog (logged in students only) — off
- Show standard landing page — off

With all three disabled, the course status shows as **Private**. Students won't be able to find or enroll in it on their own. Anyone you manually enroll, or who belongs to a group with this course assigned, will access it at no charge.

Use this configuration for internal training courses that should only reach specific teams or groups, not your general student population.

---

**Tip:** Courses assigned through a group don't need to be enrolled individually. Adding a student to a group is enough — they gain access to all group materials instantly, and lose it the moment they're removed.
